You may not send email to someone who has requested you don't send them email.
You may not contact individuals to sell services unless they have first contacted you.
You may not use the personal mailboxes to send bulk email. We provide a separate bulk email facility for sending of marketing emails and our website service includes transactional and bulk sending capabilities. It is contrary to the terms of our network providers and will usually result in automatic suspension of the mailbox. This is not something that we can override as blocking is deployed by the major ISPs. We provide a separate bulk emailer for newsletters and Email sent from websites is sent via authorised transactional/bulk email servers.
If you change the password then make sure it is at least 12 characters long and does not contain recognisable patterns or words.

These are setup instructions for IMAP. Use IMAP if you wish to access your email across multiple machines and/or mobile devices. If you were previously using POP3 then you need to remove the POP3 account for your mailbox from your personal computer, and reset it up using IMAP. The webmail facility can also be used instead of your email client, or when you do not have access to your own machine. When using IMAP we recommend using Thunderbird as your desktop client, as older versions of Outlook have a few bugs that sometimes cause problems with your email, and the newer versions have even more bugs.
IMPORTANT
In all the following instructions you should replace your-domain-name.co.uk with the domain name that we have created for you.
Make sure you REMOVE ALL POP3 CLIENT SETTINGS, or set them to leave mail on the server, as otherwise they will delete the contents of your inbox when they download.
IMPORTANT: Please check your port values and SSL settings. Using the wrong port values will make you non-compliant with the GDPR
No matter what email client you are using you should be asked for the following settings at some point during configuration:
Inbound Mail Server (IMAP server): mail.hostedemail.com
Outbound Mail Server (SMTP server): smtp.hostedemail.com
Account ID (Username/Email Address): use your full email address including the domain name
Password: Use the password we have supplied to you whenever you are asked for a password during email configuration. The account ID and password are the same for both the Inbound and Outbound email settings.
Authentication: The server requires password authentication.
SSL: Use SSL/TLS as the protocol and port 465 for SMTP, port 993 for IMAP.
Ports: Use port 993 for IMAP and port 465 for SMTP. Note that some mail clients will use the wrong defaults - change the values to 993 and 465.
We have listed specific instructions for some of the more common email clients.
Thunderbird
We recommend you use Thunderbird as your desktop client if using IMAP, as it works the best out of the ones we have tested.
If you are installing Thunderbird then it will prompt you for the settings when you first start it, otherwise:
On the 'Edit' menu select 'Account Settings'
Click 'Add Account' (bottom left)
Select 'Email Account' and click 'Next'
Enter your name and email address and click 'Next'
Select 'IMAP' and type 'mail.hostedemail.com' in the 'Incoming Server' field. click 'Next'
In the 'Incoming User Name' field enter your email address again (We sometimes refer to it as the account ID). Click 'Next'
Enter whatever you like in the Account Name field and click 'Next'
Check the details and click 'Finish'
Microsoft Office Outlook 2003
Microsoft Outlook 2002 Standard Edition
Start Outlook.
On the 'Tools' menu, click 'E-mail Accounts'.
Under E-mail Accounts, click 'Add a new e-mail account', and then click 'Next'.
Click 'IMAP' as the type of account that you are creating, and then click 'Next'.
In the Your Name box, enter your name as you would like it to appear to recipients.
In the E-mail Address box, type your e-mail address.
In the User Name box, type your e-mail address.
In the Password box, type your password.
Tick 'Remember password'
In the Incoming mail server (IMAP) box, type mail.hostedemail.com
In the Outgoing mail server (SMTP) box, type smtp.hostedemail.com
Click the 'More Settings' button
In the pop-up click the 'Outgoing Server' tab
Tick 'My Outgoing Server (SMTP) requires authentication'
Select 'Use same settings as my incoming mail server'
Click 'OK' and the pop-up will close
Click 'Advanced'
Change the outgoing server port number to 465
Click 'Apply'
Then click 'Next', then click 'Finish'.
Microsoft Outlook Express
Start Outlook Express
From the 'Tools' menu click 'Accounts'.
In the Accounts dialog box, click Add, and then click Mail.
In the Display name box, type the name that you want recipients to see when you send a message, and then click 'Next'.
In the E-mail address box, type your e-mail address as supplied, then click 'Next'.
In the E-mail Server Names box, click IMAP for the incoming mail server type (Post Office Protocol 3 (POP3) is the default type), and then type the names of your incoming (mail.hostedemail.com) and outgoing (smtp.hostedemail.com) mail servers.
Click Next.
Type your IMAP account name and password in the Account name and Password boxes, and then click Next.
In the Internet Mail Account Name box, type a name to identify the mail account, and then click Next.
Click Finish.
In the Internet Accounts dialogue highlight the account you have just created.
Click 'Properties'
In the properties dialogue click the 'Servers' tab
Tick the box at the bottom, 'My server requires authentication'
Click 'Apply'
Click 'OK'
Click 'Close' to close the Internet Accounts dialog box.
When you are prompted to download folders from the mail server, click Yes.
The webmail facility is available on:

Enter your full email address and password to logon.
Do the following on your iOS device:
1) Tap Settings.
2) Select Mail, Contacts, Calendars.
3) Tap Add Account.
Select Other.
4) Under Calendars tap Add CalDAV Account.
For Server enter mail.hostedemail.com
For User Name enter your email address.
For Password enter your email password.
Enter whatever you like in the Description field. It will be autopopulated with what was entered in the Server field.
Tap Next.
Events in your webmail calendars will now be visible in the calendar app on your device. Any changes made in webmail will show up on your device with a refresh.
We recommend you use the paid app DAVdroid. Once you've installed DAVdroid, do the following on your Android device:
Tap Settings.
Select Accounts.
Tap Add Account.
Select DAVdroid.
For URL enter mail.hostedemail.com/caldav/youremailaddress
For Username enter your email address.
For Password enter your email password.
Tap Next.
Select the calendars you want to sync.
Events in your webmail calendars will now be visible in the calendar app on your device. Any changes made in webmail will show up on your device with a refresh.
Android or iOS phones support IMAP access - you can configure Blackberries, iPhones, iPads and similar devices to use IMAP. Just use the general settings above and follow your device specific instructions provide on the device or in the manufacturers documentation.
Most mobiles expect a secure IMAP connection. Our servers support a secure (SSL/TLS) connection.
Since there are so many different types of mobile phone and tablet devices we do not have specific instructions for each type. Simply configure your email account as an IMAP connection on your device and use the following settings when prompted:
Account ID/Username/UserID: Your full email address including the domain name - e.g.
Password: As we have supplied to you
IMAP server: mail.hostedemail.com
SMTP server: smtp.hostedemail.com
Note that you will incur connection charges and data transfer charges to your mobile phone company depending on your price plan. Using our WAP client compared to using your phone's IMAP facilities, or phone specific solutions such as blackberry server on a regular basis may create greatly different charges, depending on the IMAP settings you use, etc. Our WAP client is designed to be efficient, so it may be cheaper to use this - however it all depends on your price plan. We are not responsible for your phone charges.

IMPORTANT Security Notes
Make sure you set to use SSL/TLS connection. If you don't use a secure connection then using any device via a public Wi-Fi can allow your email address and passwords to be EASILY intercepted by ANYONE within range of the Wi-Fi network. Even if you are in your own home and have a hard-wired connection then if you do not use SSL/TLS your details can be EASILY intercepted by a third party.
DO NOT use ANY service from an internet cafe (or any machine that you do trust the administration of) that requires you to enter credentials. I.E. only use an internet cafe for browsing the internet. This includes using any service via such a machine - even if it has security features such as two factor authentication. ANYTHING you type on a machine in an internet cafe can EASILY be remotely intercepted and manipulated by whoever administers the machine no matter how encrypted or safe you think your connection is. So NEVER use a machine in an internet cafe for ANYTHING other than browsing the web.
Please ensure you set secure passwords. The password we supply you with is long and random. It is generated from truly random numbers. If you set a password that is easy for you to remember then it is likely that it is easy for an attacker to compromise. Note that we do not store or retain your passwords - when you log on to the system a mathematical 'hash' of your password is performed and that is compared against the hash value we have stored. It is not possible to reverse this hash. If we send you a new password then that is deleted from our email systems after you have received it. If you forget your password then we will need to send you a new one.
If you use services that are really critical such as internet banking then do not install add-ons to your browser. Even if you trust them it is often wise to keep enhancements to a minimum - e.g. the exploit introducted to Google Chrome by AVG's anti-virus:
